Welcome to Kaabil, available at kaabil.ai and in the Kaabil apps for Android and iOS. Kaabil is a product of Redrob Inc. (formerly McKinley Rice Inc.) ("Kaabil", "we", "us" or "our"). We respect your privacy and are committed to protecting it.

This Privacy Policy explains:

• what information we collect when you use Kaabil App, Kaabil Hire, Kaabil Campus, Kaabil Assess, Kaabil Agents and related services (the "Service");

• how we use it, share it and protect it;

• how long we keep it, and how you can delete it;

• the choices and rights you have.

1. Who We Are

Kaabil is operated by Redrob Inc., a company incorporated in Delaware, USA. Our offices are located at:

2. Information We Collect

Account and Profile Information

Information you provide when you create or update your profile:

• name, email address, phone number and password;

• location, education, work history and skills;

• resume, portfolio links and career preferences.

Assessment and Evidence Data

This includes:

• your responses to assessments and mock interviews;

• your scores, Redrob Score and credentials;

• integrity signals captured during proctored assessments.

Proctoring may use your camera, microphone, screen or browser activity. We use these only during an assessment that tells you, before it starts, that proctoring is required, and only after you grant the device permission.

Organisation Information

For employers and institutions:

• company or institution details;

• job listings and hiring stages;

• campus pass and seat assignments;

• learning material uploaded to create assessments;

• details of team members you invite.

Google Account and Gmail Data

If you sign in with Google or connect your Gmail account, we collect the limited Google data described in Section 7.

Payment Information

Billing name, address and transaction details. Card and payment details are processed by our payment partners, including Google Play for purchases made in the Android app, and are not stored in full on our systems.

Usage, Device and App Data

This includes:

• how you interact with the Service: access times, pages and screens viewed, and features used;

• device and browser information, app version and crash logs;

• IP address and approximate location;

• device identifiers, including advertising identifiers where your device settings allow them.

Communications

Messages you send to our support team, and information about whether you open or act on emails and notifications we send you.

3. How We Use Your Information

We use your information to:

• create and manage your account;

• build your verified skills profile;

• run, score and proctor assessments, and calculate Redrob Score;

• match candidates with relevant jobs, and employers with relevant candidates;

• help institutions track student readiness;

• power Kaabil Agents;

• process payments;

• send service, security and product updates;

• provide support;

• measure how well our marketing and app-install campaigns work;

• prevent fraud and misuse;

• comply with legal obligations;

• improve and develop the Service.

Google user data is used only as described in Section 7.

4. Redrob Score, Matching and Automated Processing

Kaabil uses automated and AI-based processing to:

• score assessments and calculate Redrob Score;

• rank job and candidate matches;

• support Kaabil Agents with tasks such as first responses, rule-based screening, assessment invitations and outreach.

These outputs are designed to support decisions, not replace them. Important decisions, such as shortlisting, hiring or placement, remain visible and reviewable by people.

The Candidate Agent sends outreach emails from your connected Gmail account only within the settings you choose. It does not submit job applications on your behalf without your action.

5. Sharing and Disclosure of Information

We do not sell or rent your personal information to third parties. We share information only as needed to provide the Service:

• Employers and recruiters: when you apply, are matched, or make your profile discoverable.

• Your institution: your college, university, school or coaching institute, when you use the Service through them.

• Service providers who work for us under confidentiality and data-protection obligations: cloud hosting; payments (Stripe, Google Play); product analytics (PostHog, Google Analytics); in-app messaging and email (CleverTap, Brevo); app-install attribution (Airbridge); advertising measurement on our website (Meta Pixel).

• Other Redrob Products: to provide a unified account (see Section 14). Google user data is never shared this way.

• Legal and corporate: where required by law, to protect our rights or the safety of users, or in connection with a merger, acquisition or sale of assets.

We never share Google user data with advertising partners.

6. Cookies and Tracking Technologies

We use cookies and similar technologies to:

• keep you signed in;

• remember your preferences;

• understand how the Service is used;

• measure our marketing;

• improve performance.

On our website, this includes Google Analytics and the Meta Pixel. You can control these in several ways:

• set your browser to refuse cookies, or to tell you when a cookie is being sent;

• reset or limit your advertising identifier in your device settings;

• opt out of Google Analytics with Google's browser add-on.

Some parts of the Service may not work properly without cookies.

7. Google Account and Gmail Data

This section explains exactly what we access from your Google account, why we access it, and how we protect it.

7.1 Sign in with Google

When you sign in with Google, we receive your name, email address and profile picture. We use them only to create, identify and secure your Kaabil account.

7.2 Gmail, for outreach

Gmail access is optional. We request it only if you choose to connect Gmail so that Kaabil Agents can send outreach emails to recruiters from your own account. When you connect Gmail, we access:

• Permission to send email on your behalf. We send only messages that the Agent prepares within your settings, to the recruiters you target. You can review messages before they are sent, or turn on automatic sending.

• Email metadata only. This means message headers, thread IDs, labels and timestamps. We use it to confirm a message was sent, to detect bounces, and to show you when a recruiter replies.

We do not read, store or analyse the body of your emails, your attachments or your drafts.

7.3 Google Calendar

If you choose to connect Google Calendar, we access the events needed to schedule interviews and avoid clashes. We use them only for that purpose.

7.4 How we use and do not use Google user data

We use Google user data only to provide and improve the user-facing features described above. We do not:

• use it to serve, target or measure advertising;

• sell it, or use it to build profiles for any purpose unrelated to these features;

• share it with other Redrob Products, advertisers or data brokers;

• use it to develop, improve or train generalised artificial intelligence or machine-learning models;

• allow any person to read it, except: with your explicit permission for a specific message; where needed for security, such as investigating abuse; to comply with the law; or when the data is aggregated and anonymised for internal operations.

We transfer Google user data only to the service providers who help us run these features, under confidentiality obligations.

7.5 Storage and security

Google user data is stored on secured servers, encrypted in transit, and access to it is limited to the systems and staff that need it to run the feature.

7.6 Retention, disconnection and deletion

We keep Gmail and Calendar data only while your account is connected. It is deleted when you disconnect the account or delete your Kaabil account, and in every case within 30 days. You have two ways to disconnect:

• in the app;

7.8 Other connected accounts

If you connect LinkedIn or another third-party account, we access only the limited data needed for that feature, such as your name, email address and profile picture.

8. Data Retention

We keep your personal information for as long as your account is active or as needed to provide the Service.

Proctoring recordings and integrity signals are kept only as long as needed to review an assessment, and are deleted once the review of that assessment is complete, unless the result is under dispute.

When you delete your account, we delete or anonymise your personal information within 30 days. The exceptions are:

• records we must keep for longer to meet legal, tax, accounting or fraud-prevention obligations;

• assessment results you have already shared with an employer or institution, which they may keep under their own policies.

9. How to Delete Your Account

You can delete your Kaabil account and the data associated with it at any time, in three ways:

• In the app: go to the Profile tab → Privacy, data and legal, and choose Delete account.

• By email: write to privacy@redrob.io from the email address on your account.

What is deleted

• your profile, resume and preferences;

• assessment responses and proctoring data;

• connected Google, Gmail and other account data;

• usage data linked to you.

What may be kept

Payment and invoice records, for as long as tax law requires; assessment results already shared with an employer or institution; and aggregated, anonymised statistics that no longer identify you.

Deletion is completed within 30 days of your request.

10. Data Security

We implement reasonable technical and organisational measures to protect your personal information from unauthorised access, alteration, disclosure or destruction. These include encryption in transit, access controls and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

11. Children and Students

The Service is not directed at children under 13, and is not intended for anyone under 18 to use on their own.

Where a user under 18 uses Kaabil, we process their data only with verifiable consent from a parent or guardian. That consent may be obtained by their school, coaching institute or college, or by us directly. We process that data only for educational, assessment and career-readiness purposes.

We do not use the personal data of anyone under 18 for targeted advertising or behavioural tracking.

12. Your Rights

India (DPDP Act, 2023)

You have the right to:

• access a summary of your personal data;

• correct, complete, update or erase it;

• withdraw consent at any time;

• nominate another person to exercise your rights;

• have your grievances addressed by our Grievance Officer.

European Economic Area (GDPR)

You have the right to access, correct, delete or transfer your personal data, and to restrict or object to its processing.

California (CCPA/CPRA)

You have the right to know about, access and request deletion of your personal data, and to opt out of the sale or sharing of your personal information. We do not sell personal information.

You can update most profile information from your account settings. To exercise any of these rights, email privacy@redrob.io. We respond within the time required by law.

13. International Transfers

Your information may be transferred to, and stored on, computers located outside your state, province, country or other governmental jurisdiction, including in India, the United States and South Korea. Data protection laws in those places may differ from those in your jurisdiction. Where we transfer data, we take steps to make sure it remains protected in line with this Privacy Policy.

14. Unified Redrob Account

Kaabil is part of the Redrob suite of products. When you sign in to Kaabil, your basic account information may be shared across Redrob Products so you can use one login. Each Redrob Product uses your information in line with this Privacy Policy and its own product-specific terms.

Google user data described in Section 7 is not shared with other Redrob Products.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we post the new version on this page and update the "Last Updated" date. Where changes are significant, we will also notify you by email or in the Service before they take effect.
